THE ROLE
This role oversees clinic operations, staffing, patient experience, workflow efficiency, regulatory compliance, financial performance, and strategic growth initiatives. The Director, Clinic Operations works closely with ownership, medical director, physicians, sonographers, technologists, clinical leaders, and administrative staff to ensure the clinic delivers high-quality patient care while maintaining operational excellence and profitability.
They are responsible for ensuring the delivery of high-quality, efficient, and compliant diagnostic services while fostering a culture of continuous improvement, innovation, and exceptional patient care.
THE CANDIDATE
Core Competencies
- Proven track record in operational leadership, preferably in a service sector organization.
- Strong business and financial acumen.
- Successful experience in analyzing operational dynamics, analyzing and strategizing improvements and executing with measured positive results.
- Experience leading multidisciplinary teams of at least 20+ staff.
- Strong people leadership, scheduling/resource planning, and performance management experience.
- Comfort with KPIs, budgets, productivity metrics, and operational reporting.
- Strong patient service orientation and ability to handle escalations.
Key Responsibilities
Operational Leadership
- Lead the development and execution of a corporate strategic plan.
- Develop and implement operational policies, procedures, KPIs and best practices to improve efficiency and patient flow.
- Monitor clinic performance metrics including wait times, scheduling utilization, patient volumes, and service delivery standards.
Staff Management
- Provide leadership, coaching, and performance management for approximately 35 employees including nurses, technologists, sonographers, reception, booking, and administrative staff.
- Support recruitment, onboarding, training, scheduling, retention, and employee development initiatives.
- Collaborate with department leads and supervisors to ensure staffing levels meet operational demands.
Patient Experience & Service Excellence
- Ensure a high standard of patient care, professionalism, confidentiality, and customer service.
- Address patient concerns, service escalations, and operational issues in a timely and professional manner.
- Implement initiatives to improve patient satisfaction and referral partner relationships.
Financial & Business Management
- Assist with budgeting, operational forecasting, and expense management.
- Monitor operational KPIs, revenue performance, staffing costs, and productivity metrics.
- Support business development initiatives and growth strategies for the clinic.
Regulatory Compliance & Quality Assurance
- Lead and coordinate compliance, accreditation readiness, privacy, OHS, and quality improvement processes in partnership with clinical leaders, ownership, and external advisors as needed.
IT
- Work with contracted media professionals towards effective social media representation and presence.
- Oversee website maintenance.
Vendor & Stakeholder Management
- Manage relationships with equipment vendors, service providers, referring physicians, and external partners.
- Coordinate equipment maintenance, service contracts, and operational purchasing needs.
- Support clinic expansion projects, technology upgrades, and operational planning initiatives.
